Terms which the lay person may need to understand in reading information published by this site.
If there is a word or term which is not adequately explained anywhere in this site, please just report it from the page you are on at the time and use Help showing on the left hand side of the screen and we'll improve on it.
Access; Privilege, Control   
Various people (registered contacts) may be granted the ability to read, create, delete, update different parts or entries of an Access21 site. The one person may be a member of one or more groups. Particular entries may be nominated as accessible to one or more particular groups to read, create, delete, or update whereas another or some groups may be denied access altogether.
Account Number   
The unique ID of the Account holder's Contact Entry. See Tags for substitution in email and letter outputs.
Alias   
An entry which behaves as if it were the original source entry. Aliases are useful in expressing content within several different hierarchies without data duplication.
Application   
1. A computer program used to perform a range of functions or provide a range of services.
2. A combination of policy and procedure which achieves certain functionality, i.e. a Commercial Application, e.g. Customer Accounting.
Archive   
Repository of historic information. The Access21 Calendar uses a special form of Archive, using automatically generated Tabs to identify Month within Year under which historic entries are recorded and listed. Such an Archive is used for recording Incidents captured by the optional Risk Management Module. Old news entries are listed on this site within a Sitemaster created Archive. More...
Back / Forward   
A button provided as part of the Web browser's Menu or Address bar which causes the previously accessed web page to be again retrieved according to an Historic list (see your Web Browser's History Menu) of accessed web pages. Back is a useful function but must be used with great caution, particularly when interacting with a fixed set of processes such as Checkout . Forward is a similar button, providing access to the webpage previously accessed after the current web page.
Browser   
1. A person who is looking around the World Wide Web, i.e. referring to and checking out Website Content, a Visitor to your site.
2. A computer application which is used to access and interact with Websites, i.e. a Web Browser.
Chat   
Internet Relay Chat. Messages are conveyed between registered internet users both working with a particular Application. A person may publish their availability for others to contact him/her and they then can send messages to each other. Chat is very convenient, light on downloading, fast and interactive. Chat is popularly used for inter-personal communication. The one person may have several "conversations" proceeding at the one time. Chat is used extensively for Access21 support, see Online Interactive Access21 support.
Check   
As a verb, e.g. Check those listed entries you want to include means click the box appearing to the left of the title of the entries so that a Tick appears in the box. The word "Select" may be used in some text to mean "Check", see also Select
Content   
Web Content. Information recorded on your Access21 worksite whether available to Browsers or not. Within Access21 worksites all Content is recorded in database Entries for retrieval, display and/or operation according to Entry Types.
Control Panel   
A vertical coloured bar on the left hand side of Access21 pages within which one or more links to functions are provided. Control Panel items are recorded under Functions.
Database   
An organised structure of digital data recorded on hard disk. Access21 uses database extensively to record and retrieve worksite content.
Edit, Editor, Editable   
The ability to update worksite content. An Editor is a person authorised to update content. An element may be Editable or Uneditable, meaning it can or cannot be modified. To Edit is to revise content in some way. Some Editors may be able to create and delete entries whereas others may only be able to update, i.e. change or revise existing content. The range of site content which the Editor can manipulate is specified using Access and providing either Delete, Create, Read, Update or Deny privilege to the Editor's Group. The group(s) which the Editor may use are defined by Assign Groups on the Contact's Entry and selectable by the Editor using the Group Selector (pull down)
Element   
Generally means a Component or Part of a Screen, an Image or an Entry. Generally, the editable parts of an entry are it's elements, a number of standard and perhaps editor definable elements are provided on the Edit Elements screen which effectively, extends the range of editable parts of an entry.
FTP   
File Transfer Protocol. Typically, a specific utility application is used to facilitate transfer of files between Local hard disk and a remote Server hard disk. Access21 makes the process of file transfer very simple and direct from the operator's Web Browser. See also Upload. If your site has been set up with the Ancilliary FlashPage Web Hosting Service, updating of Flashpage content demands competency in using FTP.
Functions   
Access21 comes with many Functions categorised by Module. Each Function delivers certain capabilities. They are included within the site under Admin | Design to provide, parameters (recorded in Elements) and Control Panel and Functions items to the Sitemaster can specify and Access Control.
Group   
Identifies one or more users, for the purpose of granting them specific privileges to access content. A specific contact may be assigned as a member of several groups using Assign Groups . All the members of particular group can be reviewed using the Contacts link showing on the RHS of listed Group Entry Types. A specific group may comprise one or many contacts. The Access privileges of Groups are defined using Access hierarchically recorded on all entry types.
Hierarchy, Hierarchical   
Structured on a Parent/Child basis identifying children to their forebears. A Corporate Organisation structure is normally illustrated as a hierarchical structure. All entries within Access21 are hierarchically structured. What does the hierachical structure of entries mean? See below.
HTML   
HyperText Markup Language. A special syntactical language universally adoped by web publishers and interpreted by Web Browsers in presenting web page content. Competency in using HTML is not a pre-requisite for working with Access21.
ID, Unique ID, Entry ID, Contact ID   
All mean the same thing. Each entry within your Access21 site is identified by a unique, automatically allocated, uneditable serial number. It is this number which distinguishes one entry from another and so provides a precise reference to the entry within the Access21 database. Navigate, Navigation   
The process of accessing content within a worksite. Various techniques are provided by Access21 to facilitate navigation. Each of the available methods provided by Access21 for navigation are included here.
Parent Entry   
The entry "owning" the current entry. See Hierarchy, Hierarchical. The Parent entry of the current entry is the right most link in the current entry's You are here links. The Parent Tab of the currently Active Tab is the left most Tab showing on the current web page, see Tabs.
Peer; Contact, Tab, Entry   
Means; at the same hierarchical level. Refer Hierarchy, Hierarchical. See also Peer access for special security provision for Privacy and Confidentiality between members of the same Group.
Pull Down   
By holding down your cursor over text enclosed within a graphic framed button, you'll see a list of items. You can then move your cursor down to select the one you want. The Sitemaster can revise Pull Down lists using the Edit PullDowns function.
Reply Email   
An email composed by using the Reply function of an email application whilst reading a particular email received. The Reply function automatically duplicates all or just the selected part of the received email and addresses the drafted email with the email address of the sender of the received email. The user may then edit the title and body of the message for sending.
Select   
There are two ways in which the word is used:
1. As a verb, e.g. Select Bookmark means; click the word Bookmark showing on the left hand side of the screen.
2. As a noun, e.g. To position the entry under the listed entry, use Select means; click the downwards pointing arrow showing on the right hand side of the screen.

Session   
A new Session is created each time the user logs into an Access21 Worksite. The Session lasts until:
  • the user logs out,
  • logs into another Access21 worksite
  • the Site's session time has expired, see Session Timeout or
  • the Session is terminated by the Server Administrator to perform a Software Update
  • Sitemaster   
    A person authorised on establishment of an Access21 site having overall editorial control of content. The Sitemaster can delegate all or parts of the site to others so that they can also have editorial access.
    Tab / Tabs / Index Card tags   
    A graphical element enclosing one of more words used to gain access to information.
    Toggle   
    A two state button. Click once to change the current state. Click again to change the state back to its original state. An editor can toggle between Browse and Edit mode and can toggle an entry between Visible and Invisible. Check boxes and Tabs are also toggles. The Status flag is another multi-state Toggle.
    Transaction Reference No (Ref No)   
    An uneditable, automatically assigned unique number recorded for Transaction Entries. The Reference number is displayed on the Transaction screen and for invoice transactions, included within the title of the Transaction entry. See Search for Transactions on Reference Number (Ref No). Select the Ref No showing on items within the Account Statement to display the transaction's details.
    Upload   
    A verb; to transfer a file from your local hard disk to a server disk. In Access21, the file may be an image or data file. See Upload (Image or File) function. See also FTP.
    URL   
    Universal Resource Locator. A specially formatted address universally applied for digital referencing. Web content is generally referenced using:
  • the form: http://[domain name][server disk directory][filename][extension].
  • For example, this page's URL is: http://www.access21.com.au/wipv3_6/215838.A21
  • Which translates to: http://www.access21.com.au/wipv3_6/page2/edit.jsp?id=215838&db=Entries for dynamic retrieval of database content and interpretation for screen presentation.
    To obtain the URL for the entry you are on, use the Bookmark function.
  • User   
    Synonymous with Operator, Visitor, Browser and Editor. The person using the system or the function.
    Visible, Invisible   
    Within an Access21 site, web pages (entries) can be set visible or invisible within the parent list by toggling the Spectacles Icon. In addition, Access can be used to specify whether the entry is accessible to the user or not.
    Web Designer   
    A specialist in computer graphics and HTML programming. Access21 Sitemasters do not need to rely on Web Designers.
    Worksites   
    Worksites are websites for people to work with rather than just look at.
  • An organisation's staff, management, customers or members, suppliers and contractors can participate using a worksite for their digital communication needs using just their browser.
  • An unlimited number of users can securely interact online using standard freely-available Web browsers.
  • Anyone anywhere can access information they need and, according to policy, can keep it safely, reliably and accurately up to date.
  • Tasks can be assigned to certain people for their action
  • Management has complete visibility over work in progress
  • You are here links   
    As one navigates through an Access21 worksite, the top of the body of the current web page expresses a number of links, e.g. you can see at the top of this page above the page title and below the Tabs: Home > indicating that the Glossary entry's parent is the Home entry. The deeper one navigates into worksite content, the more links appear in the You are Here links for example, see the links at the top of this entry: List image. Each of these links allow the browser to navigate to any part of the hierarchical context of the current entry. Search result lists show You are Here links to provide context of each entry.
